BUSINESS AUTOMATION / ALBERTA

Keep the work moving.
With fewer
manual handoffs.

Connect inquiries, follow-up, appointments and client handoffs around the way your business works. Start with one process that needs a clearer next step.

Your tools, responsibilities and approval rules shape the build. We review the connection before agreeing on the scope.

WHERE AUTOMATION CAN HELP

Less rebuilding the list.
More knowing what is next.

We start with the work your team is already doing, then identify a focused process worth improving.

01

Inquiry intake & lead organization

Capture project details, match existing contacts, flag missing information and assign the next action.

02

Quote & inquiry follow-up

Keep open conversations in view, prepare follow-up steps and define when the sequence pauses or stops.

03

Appointment coordination

Connect approved availability with booking, confirmation, rescheduling, cancellation and reminder steps.

04

Client onboarding & handoff

Collect the information needed to start, track completion and pass the agreed details to delivery.

05

After-service follow-through

Prepare review requests after a defined completion step and record what has already been followed up.

Approvals are part
of the build.

We agree which actions can run automatically, which require review, who owns exceptions, and what happens after a reply, cancellation or request not to be contacted. Those rules belong in the workflow from the start.

FROM PROCESS TO PRACTICE

A defined workflow.
A usable handover.

The goal is a process your team can operate and understand, with the important paths checked before handover.

01 / MAP THE WORK

Make the rules clear.

Review the starting event, required information, current tools and desired next step.

  • Process map and responsibilities
  • Connection feasibility and access needs
  • Agreed scope, price and timeline
02 / BUILD & REVIEW

Connect the agreed steps.

Configure the workflow and its data handoffs around the approved process.

  • Agreed triggers, actions and data fields
  • Review gates and exception handling
  • Stop rules and duplicate handling where required
03 / TEST & HANDOVER

Know how to run it.

Test the normal and agreed exception paths, then walk through the result with your team.

  • Documented acceptance checks
  • Operating and recovery instructions
  • Ownership and support responsibilities

Apex’s separate private demo saves fictional inquiries, creates follow-up tasks, checks duplicates and supports optional consultation changes. The screenshot shows the business view.

Fictional data. Demo messages and reminders are previews, with no live calendar connected. This demo does not process inquiries from Apex’s public website.

FIND THE RIGHT STARTING POINT

Show us the step
you keep repeating.

A short description of the current process is enough to begin. We can work through the detail together.

  1. Where does the work arrive?

A website form, shared inbox, spreadsheet or another tool. Identify the event that starts the process.

  2. What do you copy, check or chase?

Describe the information you move and the decisions a person makes along the way.

  3. What needs a person’s approval?

Keep judgment, unusual requests and sensitive actions at the review points agreed with your team.

  4. What should happen when something changes?

A reply, duplicate inquiry, failed connection or cancelled appointment needs a defined response.

PRACTICAL QUESTIONS

Before
we connect it.

Can we automate just one part of the process?

Yes. A focused inquiry, follow-up, appointment or onboarding workflow can be a standalone project. We can identify later improvements without activating everything at once.

Do we have to replace our current tools?

We start with the tools you already use and check what they support. Any required changes, subscriptions or connection limits are discussed before the scope is agreed.

Will it send messages automatically?

That depends on the agreed workflow. We define the recipients, content, timing, permissions and review rules before enabling an automatic message step. The public walkthrough and the private demo shown here only display previews.

What does the quote include?

Your quote defines the process, connections, data fields, review gates, acceptance checks, handover, price and timeline. Third-party subscriptions and any ongoing maintenance or support are discussed separately.
